New: Voice AI now handles 47+ calls daily per clinic. See how it works
Use Case

8 patients did not show up today. That is 8 empty chairs and ₹12,000 gone.

We send reminders where people actually look: WhatsApp. Then a follow-up. Then a voice confirmation if they still have not responded. No-shows drop from 8 per week to 2.

Modern clinic interior

The real cost

Patient books on Monday for Friday. By Friday they forgot, or something came up, or they just could not be bothered. Slot sits empty. Cannot fill it at the last minute. Doctor earns nothing for that 15-minute block. Do that 5 times a day for a month and you are looking at ₹50,000 or more walking out the door.

What we do about it

Three touchpoints, not one

WhatsApp at 48 hours out. Another at 24 hours. Voice call at 2 hours if still unconfirmed. Most patients respond after the first message. The few who do not get escalated automatically.

Confirm, cancel, or reschedule in one tap

They tap "Confirm" and you know they are coming. They tap "Reschedule" and pick a new time. Either way, you are not left guessing. One tap from the patient. Zero effort from your staff.

Cancelled slot goes to the waitlist instantly

Patient cancels 24 hours before. Waitlisted patients get offered the slot. Chair fills again. Revenue saved. Average fill time: under 5 minutes for popular time slots.

Serial no-showers get extra attention

Patient has missed 3 of their last 5 appointments? They get an extra reminder. And a voice confirmation. The system learns who needs more nudging. Repeat offenders flagged for your attention.

Deposit collection for high-value appointments

Implant consultation? Cosmetic procedure? Collect a deposit at booking. Patients who have paid something are 3x more likely to show up. No-show risk eliminated for expensive procedures.

WhatsApp read rate

"Our no-show rate was 22%. We tried SMS reminders from our old system but nobody reads SMS anymore. Switched to WhatsApp reminders with one-tap confirmation through Relaya. No-show rate dropped to 7% in the first month. That is 4 extra productive slots per day. At ₹500 per consultation, that is ₹52,000/month recovered."

Common questions

Why WhatsApp instead of SMS for reminders?

SMS has a 20-30% read rate in India. WhatsApp has a 95% read rate. Patients read WhatsApp within minutes. They can also respond directly: tap "Confirm" or "Reschedule." SMS does not allow interactive responses. The difference in read rate alone accounts for most of the no-show reduction.

What happens when a patient cancels via the reminder?

Immediately, the now-empty slot is offered to patients on your waitlist. They receive a message: "A slot just opened at 3pm today. Would you like it?" First to confirm gets it. If nobody takes it, the slot stays open for walk-ins. The key is you know 24 hours ahead instead of discovering an empty chair at the appointment time.

Some of our patients are elderly and may not use WhatsApp. What then?

The system supports fallback channels. If WhatsApp delivery fails (patient does not have WhatsApp), it sends an SMS. For patients you flag as needing voice reminders, it makes an automated voice call. You can set default channels per patient or let the system auto-detect based on delivery success.

Empty chairs cost money. Full ones make it.
